Parent / Childminder Agreement

If you proceed with  Utopitots Childcare following a meeting and an exchange of contracts with us you will be bound by the contracted hours that we agree on at this stage and you will be charged a fixed fee in accordance of those.  We cannot exchange your contracted days for others but you can ask for additional hours/days if needed (*which will be charged at the hourly rate) we will try to assist you where spaces are available. Charges will apply if your child(ren) have time off from our setting for sickness or other (according to your contracted hours).  If we need to close Utopitots Childcare there will be no charge (unless we are forced to close by the government or Ofsted (in this case we will change 1/2 fees to hold your childs space)  

*We welcome parents using Early years funding hours and if you are intending to use these within our setting please let us know and we will provide you with our admissions and fees policy.  

   

Fees and Payment details  / Charges  


Retainer Fee                 

To hold a space for your child you will be charged ½ rate of contracted hours requested until the space is taken in full  


Hourly Childminding rate             £6.50 per hour/per child   

                                                          (Under 5s is a minimum 4hr charge, over 5s/ School 


Children/wrap around care           is a minimum 2hr charge before (from 8am) and after                                                              school (from 3pm/3:30pm)

Food                                                 *optional charges £1.50 breakfast / £2.50 lunch / £1.50 Hot                                                              Snack/small dinner / £3.50 large Dinner  


Payment Day                                   We will invoice you on the last day of the calendar month we                    would appreciate payment within 7 days of receipt and late 

charges  of £10.00 per day will apply after day 10. If you are using  voucher schemes please leave good time for these to clear.

Nursery/Preschool                          Please note if your child attends preschool or nursery and you have                                                                  Contracted us to take them and pick them up we do still charge for                                                                  the space when they are there.  

Consumable charge                         A consumable charge of £1 per hour for 2-3years and £2 per hour                        for 3-4years will be added to invoices where the parent does not pay for childcare                                                         

  

Holidays  

Our holiday period runs from January 1st until December 31st.  We take 28 days holiday within the school holiday break time. Christmas break we will discuss with parents closer to the time depending how it falls but please note we are not open from Christmas Eve until after New Years Day. Our holiday will be charged at ½ rate to non-term time children according to their contracted hours. If parents decide to take holiday within their contracted hours they will be charged at full rate and we ask for good notice.   1. The registered childminder agrees to : 

  

  1. Care for the child during the contracted hours and at such other times as may be mutually agreed in writing 

  2. Comply with all requirements of registration as laid down by the regulatory authority (ofsted) and relevant regulations and national minimum standards 

  3. Comply with all requirements laid down by his/her insurance company 

  4. Provide suitable developmental experiences appropriate to the age and stage of development of the child named 

  5. Notify the parent/guardians as soon as reasonably possible of any accident or injury occurring whilst the child is in our care.  If the parent / guardian is not available the registered childminder will contact the person listed as their emergency contact 

  6. Be available to discuss the care and development of the child with the parents

/guardians when requested and at a time which is mutually convenient 

  1. Provide the child with nutritionally balanced meals at the parents request 

Special dietary needs, Special cultural requirements  

  1. We insure that the child has the opportunity to take part in the local community by visiting locally run activities for example baby/toddler groups etc 

  2. Maintain appropriate insurance cover, including public liability, house/contents and motor insurance 

  3. Ensure that the child is appropriately restrained in a safety seat or straps according to their age and weight when travelling in a car 

  

  1. The Parent(s) / Guardian (s) AGREE TO: 

  

  1. Pay the fees as set out overleaf on the day agreed  

  2. Arrive and collect the child on time 

  3. Provide the following items: 

i.Change of clothes for under 5s 

ii.Set of outdoor clothes/jacket/ outdoor shoes/sun hat etc 

iii.Baby change bag with nappies, wipes, comforters etc 

  1. Give at least 4 weeks’ notice of annual leave and as much notice of other leave as possible.  

  2. Provide necessary information requested by the registered childminder in connection with her/his registration and notify any changes to that registration 

  3. Be available to discuss with the registered childminder the care and development of the child if so requested by the registered childminder at a mutually convenient time 

  4. Inform the registered childminder if the child has been ill within 24hrs before a contracted period 

  5. Inform the registered childminder of any medicine prescribed by the child’s doctor and give written permission for the registered childminder to administer the medicine if such administration is required.  Written permission will be required each time medicine is administered 

  6. Notify the registered childminder at the beginning of each contracted period of any accident or injury the child may have suffered since last in the care of the registered childminder, as the registered childminder will record details 

  7. Compensate the registered childminder for any damage to his/her property caused by intentionally destructive behaviour or roughness.  Reimbursement to be paid on next date of payment 

  8. Acknowledge that the registered childminder has a statutory obligation to put their child protection policy into action when the have concerns about the welfare of safety of a child and inform relevant authorities.  These concerns may be reported to Childrens Social Care, Ofsted and / or the Police 

  9. All parents and guardians will be asked to read and complete a signed consent form of all of our Policies, Procedures / terms and conditions 

  10. Abide by the policies that apply at the date of the contract and any new, amended or extended policies agreed during the term of the contract 

 Period of notice to end the contract is 8 weeks (notice of termination of the contract must be given in writing and should not be given during a period of holiday of either party or childminders paid time off   

The notice period cannot include a period of holiday of either party or the registered childminders paid time off, or during a time when the registered childminder is not providing care or being paid in full  

If it is necessary to end the agreement immediately, then payment in lieu of notice must be made, unless the parties have agreed a variation  

The registered childminder may terminate the contract immediately for any of the following reasons (but not solely limited to):  

  • If the safety and wellbeing of the registered childminder, their children or the children in their care are threatened by a parent(s) / guardian(s) or their child’s behaviour 

  • If the parent(s) / Guardian(s) abuses the registered childminder or exhibits unacceptable behaviour  

  • Failure by the parent(s) / Guardian(s) to comply with the policies set 

  • Failure by the parent(s) / Guardian(s) to comply with the contract 

  • If the child continually exhibits destructive or hurtful behaviour that does not improve with parent(s) / Guardian(s) cooperation in stopping the behaviour  ï‚·            Non-payment of fees which have been outstanding for 30 days or recurring late payment of fees  

  • Failure by the parent(s) / Guardian(s) to show up for 2 days in a row without any communication 

  • If the parent(s) / Guardian(s) brings a child to the setting knowing they are ill  

  

The registered childminder and the parent(s) / Guardian(s) agree to consult and review this contract every 12 months
